The Associate Director of General Administrative Services holds a pivotal managerial position within the Chancellors' Office at DKU. Tasked with overseeing a spectrum of administrative functions, this role plays a vital role in ensuring the smooth and effective operation of the office.

Duke Kunshan University (DKU) is a collaborative effort between Wuhan University, Duke University, and the Kunshan City government, established as a China-US Joint Venture institution in September 2013. Situated in the Kunshan Yangcheng Lake Science Park, DKU operates as a non-profit public welfare social organization with independent legal status. The Associate Director of General Administrative Services holds a pivotal managerial position within the Chancellors' Office at DKU. Tasked with overseeing a spectrum of administrative functions, this role plays a vital role in ensuring the smooth and effective operation of the office. Reporting directly to the Director of Chancellors' Office, the Associate Director will spearhead the management of administrative processes, documentation, staff engagement and development, resource integration, and budget planning. Additionally, he/she will foster seamless communication channels and provide essential support to optimize the office's overall functioning.

Responsibilities

The Associate Director of General Administrative Services will be responsible for a range of key duties aimed at ensuring the efficient operation and strategic advancement of the Chancellors' Office at DKU. Responsibilities will include, but are not limited to, managing institutional agreements and projects, handling official documents’ drafting and editing, leading translation services, coordinating meetings of the DKU Board of Trustees, facilitating the development and review of institutional regulations, and ensuring the quality of key institutional documentation. Specifically, the position holder is expected to undertake the following duties:

  • 1. Oversee and support key institutional events and projects, ensuring successful execution while adhering to the highest quality standards. Responsibilities include managing the Undergraduate Opening Convocation, providing support for institutional conferences, collecting and identifying important university events, and coordinating university leadership's attendance at these events.
  • 2. Manage the logistics for DKU Board of Trustees (BoT) meetings, facilitating effective communication among partner institutions, the Board Secretary Office, and other stakeholders. Keep leadership and the BoT Secretary Office informed of compliance requirements related to joint-venture university BoTs, spearheading projects to ensure adherence to these requirements, such as archiving mandates from the Jiangsu Education Department. Provide bilingual paperwork/translation support for BoT business and interpretation services for its committees/task forces as needed.
  • 3. Provide oversight in the development and refinement of institutional regulations, collaborating closely with the Office of Legal and External Compliance Affairs and Office of Audit and Internal Compliance. Ensure compliance with regulations and mitigate associated risks. Continuously explore and implement optimization strategies for the regulation framework to enhance operational efficiency and regulatory adherence.
  • 4. Play a key role in the budget planning and control process, providing strategic guidance to optimize spending effectiveness and resource allocation.
  • 5. Oversee the quality of translation services provided to university leadership, ensuring accuracy, clarity, and alignment with institutional standards. Additionally, be prepared to offer translation and interpreting services as needed, ensuring effective communication across language barriers when required.
  • 6. Foster strong relationships with university partners and stakeholders to support external projects and collaborations. Also, represent the Chancellors' Office sometimes when receiving external visitors as needed.
  • 7. Undertake any additional duties or special projects as assigned by the Director of the Chancellors’ Office, demonstrating adaptability and agility in responding to evolving organizational needs.
  • 8. Perform other duties as assigned.
  • 9. University employees' job responsibilities will continue to expand in scope and depth as the University grows in size and complexity in its programs.
Qualification
  • 1. A master’s degree is required. Preferred majors include education, senior translation/interpretation, business administration, and management science.
  • 2. A minimum of 7 years of experience in areas such as foreign language, education, administration, or management. Minimum of 3 years of managerial experience supervising subordinate.
  • 3. Strong communication skills, with demonstrated effectiveness in working both independently and collaboratively in diverse, intercultural environments.
  • 4. High proficiency in written and spoken English and Chinese, with the ability to provide translation and interpreting services as needed. Proven capability to oversee complex tasks and ensure the quality of documentation, including external reports and translation services.
  • 5. Demonstrated ability to be proactive and efficient, particularly in high-pressure situations. Strong understanding of project management, process management, risk management, and change management principles.
  • 6. Flexible and proactive approach, with the capacity to adapt to the growing and evolving needs of a dynamic educational institution.
  • 7. Responsible, organized, self-motivated, with a keen focus on processes and goal achievement.
