Roles & Responsibilities:
1. Major/International Academic Event Support
Oversee the full lifecycle of government approval processes for hosting international events, ensuring timely and compliant submissions;
Ensure strict adherence to national regulatory requirements, institutional protocols, and internal policies throughout event planning and execution;
Collaborate cross-functionally with academic departments, professional service teams, and external stakeholders to enhance the visibility and academic impact of major/international events.
Coordinate documentation, and post-event reporting for supported events, maintaining accurate records of processes and outcomes.
2. Student Research Program Development and Management
Design and implement a centralized framework for student research initiatives, with primary oversight of the Summer Undergraduate Research Fellowship (SURF) program.
Manage the end-to-end administration of SURF, including application receiving, review coordination, student selection processes, and Poster Fair support.
Provide support for student research activities, ensuring equitable access and compliance with guidelines.
Identify opportunities to expand and enhance student research programs, aligning initiatives with institutional research priorities and student development goals.
3. External Engagement & Collaborative Partnerships Support
Support the university’s strategic external engagement initiatives, including facilitating collaborative partnerships with domestic and international institutions, governmental bodies, and research stakeholders.
Coordinate trilateral research collaboration among XJTU, XJTLU, and UoL as a key focus area, such as organizing joint academic symposiums, workshops, and exchange activities.
Proactively identify emerging external collaboration opportunities, maintain effective communication with partner institutions, and strengthen institutional visibility in research networks.
4. Be adaptable and responsive to complete other tasks assigned by the line manager as needed.
Qualifications:
1. Educational Background
Hold a bachelor’s degree or above, preferably in Public Administration, Public Policy, Business Administration, Communication, or a related field.
2. Work Experience
Professional experience in higher education administration, research management, event coordination, or international exchange is preferred, with a minimum of 2 years of relevant work experience.
Demonstrated experience engaging with governmental departments (e.g., education, science and technology, or research funding authorities) – such as handling event approval processes, ensuring policy compliance, supporting government-funded project applications, or facilitating regulatory alignment – is highly desirable.
3. Skill Requirements
Strong organizational skills with the ability to manage multiple priorities, meet tight deadlines, and adapt to a dynamic work environment.
Excellent written and verbal communication skills in English and Mandarin; proficiency in professional English is essential for international collaboration.
Proven ability to collaborate cross-functionally and build effective relationships with internal stakeholders, external partners, and students.
Detail-oriented with a commitment to compliance, accuracy, and quality in all work processes.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with database management or program administration tools.
