Job Title: Curriculum Operations Officer

Department: Registry Office, Centre of Academic Affairs (CAA)

Reporting to: Curriculum Operations Manager

Job Purpose

The Curriculum Operations Officer supports the accurate and efficient delivery of University curriculum operations, including curriculum and enrolment data management, module registration, timetabling, undergraduate programme choice and transfer, and related student services.

The post-holder works closely with academic units and central functional teams to ensure approved curriculum structures are accurately implemented across relevant systems, provide timely support to students and staff, and contribute to continuous improvement in academic administration and student experience.

Key Responsibilities

1. Curriculum Operations and Data Management

  • Support the day-to-day delivery of curriculum operations, including module registration, class scheduling, timetable development and maintenance, and related student timetable services.
  • Maintain and quality-assure programme, module and student enrolment data in SITS and relevant systems, ensuring alignment with approved programme and module structures.
  • Support the operational implementation of approved programme and module specifications, ensuring curriculum structures and related data are accurately reflected across academic systems.
  • Support undergraduate programme choice and programme transfer processes, including student communications, data processing and enquiry handling.
  • Operate timetable software and associated web systems, ensuring accurate and timely publication of timetable information in accordance with institutional deadlines.

2. Student and Stakeholder Services

  • Provide timely and accurate guidance to students and staff on curriculum-related matters, including module registration, timetables, programme choice and transfer.
  • Undertake Learning Path Mentor (LPM) responsibilities as assigned, helping students understand academic rules and learning opportunities, explore available study pathways and their implications, and make informed decisions about their learning journey.
  • Work collaboratively with academic units and central functional teams to resolve operational issues and support consistent, student-centred service delivery.

3. Service Quality, Compliance and Continuous Improvement

  • Deliver assigned curriculum operations in accordance with University policies, relevant Chinese Ministry of Education requirements and partner university frameworks.
  • Identify operational issues, data inconsistencies and workflow inefficiencies, and contribute practical recommendations for process and service improvement.
  • Contribute to system enhancements, digitalisation initiatives and projects related to curriculum operations and student services.
  • Make appropriate use of authorised digital and AI-enabled tools to improve operational efficiency, data accuracy and student and staff experience, while maintaining professional judgement and accountability.
  • Undertake other duties reasonably assigned by the Curriculum Operations Manager or Registry leadership.

Person Specification

Qualifications and Experience

  • Master’s degree with relevant professional experience, or Bachelor’s degree with at least 3 years of relevant professional experience.
  • Relevant experience in academic administration, student services or operational support, preferably within a higher-education environment.
  • Experience working with student records systems, timetabling systems or digitalisation projects in an educational setting is highly desirable.
  • Demonstrated ability to work effectively with students, academic colleagues and professional-service stakeholders.

Skills and Competencies

  • Excellent written and verbal communication skills in both English and Chinese.
  • Strong digital and data-handling skills, including proficiency in Excel and confidence in working with student records and curriculum-related systems.
  • Strong analytical and problem-solving skills, with high attention to detail and data accuracy.
  • Ability to interpret policies and procedures and translate them into clear and practical guidance for students and colleagues.
  • Strong organisational skills, with the ability to manage multiple tasks and deadlines effectively.
  • A proactive, reflective and student-centred mindset, with a commitment to continuous improvement and service quality.
